School Policies

REGISTRATION
New Students: For all YMES group students (ages 3 - 8), new classes start each year in August and February.  Registration is accepted during open enrollment (June-Aug / Jan-Feb).  New private lesson students (ages 9 and up) start at the beginning of a semester or on a rolling basis (based on teacher and space availability).

Returning Students: Students must re-enroll at the end of the spring semester for the following academic year during the June open enrollment period.  Students who re-enroll during this time will reserve their space for the following year.  Registration from fall to spring is automatic.

TUITION AND PAYMENTS
There are two semesters in each Yamaha School year and they are divided into two quarters per semester.  Tuition is due approximately two weeks before the start of each new quarter.

The tuition due dates for each quarter are:
  • Quarter 1: Due August 1
  • Quarter 2: Due November 1
  • Quarter 3: Due February 1
  • Quarter 4: Due May 1
There will be a $15 late fee applied if payment is not received within seven business days of the due date and an additional $15 will be added to the balance at the start of every month going forward.

Three methods of payment are available:  Credit card (on-line only), automatic withdrawal (on-line only), or check.

With credit card payments, tuition is automatically charged to your credit card on or after the quarterly tuition dates noted above.

With auto-withdrawal payments, tuition is automatically withdrawn from your bank account on or after the quarterly due dates noted above.

When paying by check, you must register on-line and mail your check to our office.  You are also responsible for ensuring your quarterly tuition payments reach our office by the dates noted above.

With all payment methods, registration fees are due at the time of registration.

QUARTERLY TUITION PAYMENT AUTHORIZATION
When registering for a class on-line via credit card or auto-withdrawal, you also authorize Children's Yamaha Music School (CYMS) to again charge your credit card or initiate withdrawals from your bank account on a quarterly basis for the purpose of making tuition payments.  This information will need to be renewed each fall.

This authorization will remain in effect until you notify CYMS to cancel the Tuition Payment Authorization and within enough time as to afford CYMS a reasonable opportunity to act on the cancellation.

To cancel your Tuition Payment Authorization, one of the following must occur:
1) Send an email to yamahamusic@cyms.ws from the primary email address on your CYMS account
2) Write to CYMS at 2200 Seabury Ave, Minneapolis, MN 55406.

WITHDRAWAL/ REFUND POLICY
Tuition refunds will be given in accordance with the following schedule:
  • The refund policy assumes full semester enrollment.
  • Formal written notification must be given to the office.
  • Teacher notification is not considered formal notice of withdrawal.
  • Non-attendance is not considered a withdrawal.
  • Registration fees are non-refundable.
  • Full refunds will be given in cases of insufficient enrollment that results in the cancellation of a class.
  • Refunds take approximately 60 days to process.
  • Refunds via credit card or auto-withdrawal are subject to a $20 processing fee.
  • Withdrawal prior to the start of a quarter: full tuition refund
  • Withdrawal prior to the 2nd scheduled lesson: 50% tuition refund
  • Withdrawal after the 2nd scheduled lesson: no refund
  • Any student withdrawing from the program will be required to pay a $33 re-instatement fee to return
  • No tuition discounts or refunds will be given for student vacations or breaks from lessons.
RECITALS
One special recital will be held each semester for all students and is paid for as a class.

MAKE UP POLICY
Missed Group Lessons: If you miss a group lesson you may attend another class of the same level as a makeup.  No refunds or pro-ration will be given for missed classes.  All cancelled group lessons because of teacher absence will be made up.

Missed Private Lessons: Private lessons cancelled by the student may be made up at the teacher's discretion with a minimum of 24 hours notice.  Private lessons cancelled by the instructor will be made up at another time during the semester or between semesters.

The first weather related cancellation for group & private lessons will not be made up, every subsequent cancellation will be rescheduled.

SCHOOL CANCELLATION/CLOSING POLICY
Please call or email your teacher or check the Current Students Page to verify the status of classes during times of inclement weather or other emergencies.  Please note that CYMS does not follow the weather cancellation decisions or scheduled breaks of the local public schools.  One snow day per school year may be cancelled for each day of the week without a make-up.

KEEP DISTRACTIONS OUT OF THE CLASSROOM
Please do not bring younger siblings to class.  If you must, please ensure they are not distracting others.

AGE POLICY FOR BEGINNING COURSES:
Our courses are strategically designed for specific age groups.  Students must meet the following age criteria:

Music Wonderland
Student must be 3 years old by Sept 1 (Fall) or Feb 1 (Spring).

Junior Music
Student must be age 4 years old by Sept 1 (Fall) or Feb 1 (Spring).

Young Musicians
Student must be 6 years old by Sept 1 (Fall) or Feb 1 (Spring).
